At Jill Holly Counselling, I’m committed to protecting your privacy and handling your personal information with care and respect. This statement outlines how I collect, use, store, and protect your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who I Am

I’m Jill Beason, a qualified and BACP-registered counsellor. I am the data controller for any personal information you share with me.

What Information I Collect

When you get in touch or begin counselling, I may collect:

  • Your name and contact details (email, phone number, address)

  • Emergency contact information

  • GP details (in case of emergency)

  • Relevant health or background information you choose to share

  • Session notes (anonymised and minimal)

  • Email or text correspondence

How I Use Your Information

I use your information to:

  • Arrange and provide counselling services

  • Maintain safe and ethical practice

  • Meet legal, insurance, and professional responsibilities

  • I will never share your personal data without your consent unless:

  • There’s a serious risk of harm to you or someone else

  • There’s a legal requirement (e.g. terrorism, safeguarding)

  • It’s necessary for supervision (your identity remains protected)
     

How I Store Your Information

  • Paper records are stored in a locked cabinet

  • Digital data is password-protected

  • Notes are anonymised and kept separately from identifiable information

  • Emails and texts are deleted after our work ends

  • Records are kept for 7 years, in line with legal and insurance guidance
     

Your Rights

You have the right to:

  • Access the data I hold about you

  • Correct inaccurate information

  • Ask me to delete your data (in some cases)

  • Withdraw your consent (where applicable)
